Hotseat Booking

Switching from Vagaro to Hotseat

Our first shop, Rumo's Barber & Salon in West Monroe, is moving to Hotseat from Vagaro right now - over 1,400 clients and a full calendar - so this is a move we're making for real. Here's exactly what comes with you, how long it takes, and what changes.

What comes with you

  • Your client list - names, phone numbers, emails, birthdays, notes and visit counts - from Vagaro's customer export.
  • Your upcoming appointments, from Vagaro's appointment list. Each one lands on the right stylist's calendar.
  • Your services and prices. Set your menu once; each stylist can set their own price and how long a service takes them.
  • Your whole team - commission stylists and booth renters on one calendar, each with their own login.

How the move works

  1. Start your free trial and add your services.
  2. In Vagaro, on a computer, export your customers (Reports, then Customers, then Run Report, then Export) and your upcoming appointments.
  3. Drop both files into Hotseat. You see a preview - how many clients, how many appointments, anything that needs a look - before anything is added.
  4. Share your new booking link, then turn off online booking in Vagaro so nobody books in two places.

What's different on Hotseat

  • Dynamic pricing built in: quiet hours ease down to fill the chair, busy ones earn a little more - inside limits you set, and only if you turn it on.
  • $19 per chair a month, never more than $149 for the whole shop.
  • Clients book with their name and phone number - no account, no password - and pay with Apple Pay or a saved card.
  • Booth renters can take card payments straight to their own bank.

Questions

Will my clients have to make an account?

No. They book with their name and phone number, and Hotseat recognises them next time by their number.

Can I run Vagaro and Hotseat side by side for a while?

Yes. Import your upcoming appointments again right before you switch off online booking in Vagaro, and nothing gets missed.

Do I have to use dynamic pricing?

No. It's off until you turn it on, and you can turn it off any time. With it off, every booking is your menu price.
